What are SCAN Forms?

SCAN forms (Shipment Confirmation Acceptance Notices) are official USPS forms that allow bulk acceptance of packages. Instead of scanning each package individually, carriers can scan a single barcode to accept all packages in the form, which saves them time and can speed up your package's first tracking status updates.

Many local Post Offices require SCAN Forms once you start shipping more than a few packages at once, because it makes their life so much easier. Our platform makes it easy to print these no matter how many packages you're shipping.

How to Create a SCAN Form

Step-by-Step Process:

    Select your carrier (USPS, UPS, FedEx, etc.)

    Choose your warehouse location
  3. 3
    Review today's filtered shipments
  4. 4
    Add or modify tracking numbers as needed
  5. 5
    Click "Create SCAN Form" to generate

Important Details:

  • Cut-off time: 8:00 PM local time for same-day inclusion
  • Format: 8.5"x11" PDF documents for easy printing
  • Availability: Forms are available for 14 days
  • No editing: Once created, forms cannot be changed
  • Multiple forms: OK to give carriers multiple SCAN forms

Key Points:

  • • If you purchase labels after 8:00 PM, they'll appear in the next day's form
  • • You can create separate SCAN forms for different warehouse addresses
  • • Including labels for packages you won't ship doesn't affect the form
  • • No need to modify forms if you decide not to ship certain packages

Best Practices

Before Creating:

  • • Ensure all packages are properly labeled
  • • Verify tracking numbers are correct
  • • Check that packages meet carrier requirements
  • • Confirm pickup time with your carrier
  • • Check the 8:00 PM cut-off time for same-day inclusion

After Creating:

  • • Print the SCAN form and barcode
  • • Attach barcode to the package stack
  • • Keep a copy for your records
  • • Monitor tracking for all packages
  • • Forms are available for 14 days
Insurance & Proof of Acceptance

Important Insurance Note:

SCAN Forms are NOT proof of acceptance: A SCAN form does not qualify as the package entering the mail flow and is not considered "proof of acceptance."

A tracking scan showing that the package has entered the mail flow is required for an insurance claim. SCAN forms alone cannot be used as proof for insurance purposes.
