Understanding Your Account Balance

AtoShip uses a prepaid wallet system for purchasing shipping labels. Understanding how it works helps you manage costs and avoid interruptions.

How the Wallet Works

Prepaid Model:

  • Add funds to your wallet
  • Purchase labels from balance
  • Balance deducted per label
  • No monthly minimums

Balance Display: Your current balance appears in:

  • Dashboard header
  • Billing page
  • Before label purchase
  • Transaction receipts

Adding Funds

Payment Methods:

  • Credit/debit card
  • ACH bank transfer
  • Wire transfer (large amounts)

Adding via Card:

  1. Go to Dashboard → Billing
  2. Click "Add Funds"
  3. Enter amount
  4. Confirm payment
  5. Funds available immediately

Adding via ACH:

  1. Set up bank account
  2. Initiate transfer
  3. Funds arrive in 2-3 business days
  4. Lower processing fees

Minimum Balance Requirements

Recommended Minimums:

Why Maintain Balance:

  • Avoid shipping interruptions
  • Process orders quickly
  • Take advantage of batch shipping

Auto-Recharge

Setup Auto-Recharge:

  1. Go to Billing → Settings
  2. Enable auto-recharge
  3. Set threshold amount
  4. Set recharge amount
  5. Confirm payment method

Example:

Threshold: $50
Recharge Amount: $200

When balance drops below $50,
automatically add $200

Understanding Charges

Label Cost Breakdown:

  • Base shipping rate
  • Fuel surcharges (if applicable)
  • Additional services (insurance, signature)
  • Any carrier fees

When Charged:

  • At label purchase time
  • Full amount deducted immediately
  • Refunds added back on void

Viewing Transactions

Transaction History:

Dashboard → Billing → Transactions

Refunds and Credits

Label Void Refunds:

  • Voided within 30 days
  • Unused labels only
  • Credit to wallet (not card)

Rate Adjustments:

  • Carrier adjustments may occur
  • Weight corrections
  • Address corrections
  • Charged/credited automatically

Low Balance Alerts

Notification Settings:

  1. Go to Settings → Notifications
  2. Enable balance alerts
  3. Set alert threshold
  4. Choose notification method

Alert Methods:

  • Email notification
  • Dashboard warning
  • SMS (optional)

Multi-User Accounts

Organization Wallet:

  • Single shared balance
  • All team members use same wallet
  • Admin controls funding
  • Per-user spending visible

Tracking Usage:

  • Filter by user
  • See per-user spending
  • Set spending alerts
  • Monthly reports by user

Statement and Receipts

Monthly Statement:

  • Available 1st of each month
  • Previous month summary

Q: What happens if my balance is too low? A: Label purchase fails; add funds to continue.
